The Utilities menu can be found in the upper-left corner of the Invoicing screen.




1099 Fire© Export:


Generate 1099s for selected drivers in CSV (Comma Separated Value) format.

  1. Enter a start date (From) and end date (To).
  2. Click the "Load" button.
  3. Select your Carriers in the lower pane.
  4. Click the "Export to CSV" button.




A/P History:


Use to see/print the Accounts Payable history of transactions and Carriers, including check numbers.


A/P selection:

  • All A/P: Searches and returns results from your entire A/P history.
  • Single Carrier: Reveals a drop down menu to select a specific Carrier from your database.
  • Total Paid: Use to search for a specific load by the check amount.

Group By:

  • All Loads: Returns all valid loads.
  • Date Range (paid date): Reveals Date Range drop down menus for Start/End dates to group results by payment date. 




A/R History:


Generate an Accounts Receivable report for printing or exported as an Excel spreadsheet.

  1. Choose what to search by, the click the "Get Data" button to see the results of your search.
    • Click the "Print" button to print the report.
    • Click the "Export->Excel" button to export the report as an Excel spreadsheet.


A/R selection:

  • All A/R: Search your entire Accounts Receivable history.
  • Single Customer: Reveals the "Select Customer" drop down menu to select a specific Customer.

Select By:

  • All Loads: Returns all valid loads.
  • Date Range (paid date): Reveals Date Range drop down menus for Start/End dates to group results by payment date.

Sort By: Select a method to sort results with. 

Total Rec'd: Search by a specific payment value.




Enter A/R Balance Adjustments:


Enter any direct adjustments or corrections here.

  1. Select either Credit or Debit.
    • Credit: Reduce how much the Customer owes you.
    • Debit: Increase how much the Customer owes you.
  2. Click the "Find Pro" button and enter the desired Pro# into the popup.
  3. Enter the amount of the Credit/Debit.
  4. Click OK to apply to the invoice.




Enter Checks (A/P):


Use this screen to find A/P settlements to Carriers and input/update the check number used to pay at the time it was processed.

  • Useful if paying with checks that are printed/written from QuickBooks.




Invoice History:


Search and print Invoice History filtered by a Date Range.

  1. Enter Start and End Dates in the Date Range drop down menus.
  2. Click the "Get Data" button to process the search.
    • Click the "Print" button to print the search results.
    • Click the "Export ->Excel" button to export the search results as an Excel spreadsheet.


Selection:

  • All Loads: Search thru all invoiced loads within the specified Date Range.
  • Single Customer: Reveals a drop down menu to search for a specific Customer's loads within the specified Date Range.




Re-Print Invoice:


Enter an Invoice number here to reprint a processed invoice.




Reversal:


Reverse (undo) a processed invoice, in whole or in part.

DO NOT use this to attempt to reprint an invoice as it will change the invoice date 

  • Keyboard shortcut: Ctrl+R
  1. Select the desired Reverse option.
  2. Enter the Pro/Trip number.
    1. If available, select a desired Apply To option.
  3. Click the "Reverse" button.


Reverse:

  • Invoice/AR/AP: Reverse the entire load/trip.
  • AR Only: Reverse only the Accounts Receivable portion of the load/trip.
  • AP Only: Reverse only the Accounts Payable portion of the load/trip.

Apply To:

  • Load (Pro #): Apply the reversal to the specified Load.
  • Trip (Trip #): Apply the reversal to the specified Trip.
